Hardware on its own cannot do anything. Software is the set of programs (instructions) that tells the hardware what to do. In CSEC IT you need to know the two main types – system software and application software – and where application software comes from.
This builds on Inside the Computer, where we met the hardware that software controls.
Build on what you learned in Forms 1–3
These Lower School ICT posts cover the basics of this topic:
- What is Software? – the difference between programs and the hardware they run on
- Categories of Software – the first look at system and application software
- Data and Software Maintenance – keeping software and files up to date and safe
In this post:
- System software: operating systems and utilities
- Application software: general-purpose and special-purpose
- Integrated packages
- Sources of software: off-the-shelf, custom-written and customised
System software
System software manages the computer itself and provides a platform for other programs.
- Operating system (OS) – e.g. Windows, macOS, Linux, Android, iOS. It manages memory, the CPU, files and devices, and provides the user interface.
- Utility programs – small programs that maintain and protect the computer, e.g. antivirus, backup, disk defragmenter, file compression.

Application software
Application software helps the user carry out a particular task.
- General-purpose software can be used for many different tasks: word processors, spreadsheets, databases, presentation software, web browsers.
- Special-purpose (specialised) software does one specific job: a payroll program, a school timetable system, a hotel booking system, a point-of-sale system.

Integrated packages
An integrated package combines several general-purpose applications (e.g. word processor, spreadsheet and database) in one program or suite that shares a common look and lets you move data easily between them. See Integrated Software for more.

Where does application software come from?
| Source | Meaning | Advantages | Disadvantages |
|---|---|---|---|
| Off-the-shelf | Ready-made software bought or downloaded for many customers | Cheap, available immediately, well tested, lots of help online | May not fit the business exactly; may include features you don’t need |
| Custom-written (tailor-made) | Written specially for one organisation by programmers | Does exactly what the organisation needs | Expensive and takes a long time to develop |
| Customised | Off-the-shelf software modified to suit the organisation | Cheaper than custom-written but better fit than off-the-shelf | Updates may break the changes; still costs extra |
Example:
• a small doubles vendor might use an off-the-shelf spreadsheet
• a large bank pays for custom-written software for its accounts
• a hotel might buy a booking system and have it customised with its own room types and rates
Try it: Sort the software
Choose the correct category for each program.

| Antivirus program | |
| Microsoft Excel | |
| A payroll program for a factory | |
| Android | |
| File compression (zip) tool | |
| Web browser | |
| Airline seat booking system |

(A) an application package
(B) a utility program
(C) custom software
(D) an integrated package
3. Software written specially for one company is called
(A) off-the-shelf
(B) customised
(C) custom-written
(D) general-purpose
4. Which is a special-purpose application?
(A) Word processor
(B) Spreadsheet

Paper 2 practice (structured question)
A medical clinic in Arima wants software to manage patient appointments and billing.
(a) Distinguish between system software and application software. (2 marks)
(b) State TWO functions of an operating system. (2 marks)
(c) The clinic is deciding between off-the-shelf and custom-written software. Give ONE advantage and ONE disadvantage of custom-written software. (2 marks)
(d) Explain what is meant by “customised” software. (2 marks)
Total: 8 marks
Show answers
(a) System software manages/controls the computer hardware and provides a platform for other programs (1); application software lets the user carry out specific tasks (1).
(b) Any two (1 each):
• manages memory
• manages files/storage
• manages input/output devices
• provides a user interface
• manages the CPU/running programs
• handles security/user accounts
(c) Advantage: meets the clinic’s exact needs (1). Disadvantage: expensive/takes a long time to develop (1).
(d) Off-the-shelf software (1) that has been modified/adapted to suit the needs of a particular organisation (1).
